What is the purpose of this software?
UCCS has partnered with Converge Point to implement its Contract Lifecycle Management software (CLM) on campus. With this software, we aim to:
- Implement a centralized management system to handle the entire lifecycle of any operational agreement involving UCCS.
- Negotiate, approve, execute and manage agreements in a manner that satisfies the needs and requirements of internal stakeholders for their daily operations.
- Comply with all applicable laws and regulations, CU and UCCS policies and procedures for the execution and compliance of operational agreements.
- Anticipate, avoid, or mitigate (if applicable) contractual issues and potential risks, making sure these are considered when making business decisions.
- Advance the public goals of UCCS and protect its public interests.
Who will be able to use this system?
The system will be available to UCCS staff. Initially, we are aiming to provide licenses to staff members who are fiscal administrators, VC’s or Directors that deal with contracts on a regular basis.
Regardless, the system will eventually be deployed so UCCS staff can -at least- view all contracts pertaining to the University.
How am I going to access the CLM?
The system is currently deployed in UCCS’ Microsoft 365 environment. Therefore, it integrates with our current systems. When it is fully deployed, users will have plug-ins in Microsoft Word, Outlook and Teams (this last feature will allow users to ask a bot to search for a specific contract).
What happens to contracts that need to be routed via CU Marketplace?
Contracts that, due to procurement rules, need to be routed to PSC will still need to be sent to this office via CU Marketplace. We will use our CLM to manage the contract once it is executed. Please inform the Office of Contract Administration of contracts signed by PSC so they can be migrated to the CLM.
